Using Ad Hoc Routing

Before You Start . . .

  1. Ad hoc routing must be set up before clicking the OK button on the document you wish to ad hoc route.

  2. Ad hoc routing can be used by anyone in the routing chain, from initiator through final approver.

  3. Ad Hoc routing would be used in any situation where the necessary approvals are not accomplished through the automatic routing processes. For example, a membership requiring a dean/vice chancellor's approval could be ad hoc routed to that person.

  4. Ad Hoc routing for FYI Only will occur only after all approvals have been made. If you want the person to see the document before it is fully approved, even if their approval is not a requirement, you will need to route the document as Approval Required.

  5. You cannot ad hoc route a document to someone who has already approved it. If you try to do so, the system will bypass the ad hoc routing.

Step-by-Step . . .

Set the Ad Hoc Routing Option
From the menu bar at the top of the DaFIS Transaction Processing window, click on Options and select User Options.
The User Profile Options window will appear.
Click on the Adhoc Routing checkbox.
Click either Set for This Session Only or Save User Profile. If you select Save User Profile, you will then need to click Return to close the User Profile Options screen.
Ad Hoc Route Your Document
Click OK on your completed document to approve and route it. The following message screen will appear:
Click Yes to ad hoc route this document. You will now see the Ad Hoc Routing Screen:
Enter the user ID in the Route To field for the person to whom you are routing the document.  
If you are unsure of the user ID, double-click in the Route To field to access the FIS Users lookup screen. Use wildcards and the most unusual part of the person's name to locate the individual.

Click Search to return the matching items. Double-click on the appropriate user ID to return it to your Ad Hoc Routing Screen.
Mark the type of routing appropriately.
Enter a message to the person receiving the document via ad hoc routing. This note will only be seen by that person when they open the document from their In Box. No other approvers will see this information.
Click OK to approve this ad hoc routing setting. The following message screen will appear:
If you want to ad hoc route to an additional person, click Yes and repeat the applicable steps again. If you do not want to route to additional users, click No and your document will be routed.
