11/1/04

Decision Support Release 6.1

The highlights of this release include:

New option to filter equipment and non-equipment items on Equipment Physical Inventory (204) and Asset Lookup (143). To assist departments with physical inventory, the 204 and 143 now allow users to run the reports only for equipment items, non-equipment items, or all items. For the required biennial physical inventory, only equipment items must be physically verified. Although this is "officially" part of DS Release 6.1, it was moved to Production on 10/14/04.

Sub Account, Sub Object, and Billing ID information added to Account Lookup (11). When you run Account Lookup (11), you can now see any sub accounts, billing IDs, and sub objects assigned to a specific account by checking the appropriate options under Show Sub Attributes.

Additional information from Transaction Processing added to Vendor Information (277). The new information added to the report is vendor tax code, payment group code, discount terms, and whether or not the Stop PO indicator is checked.

Decision Support Release 6.0

The highlights of this release include:

Online Review and Annotation of Ledgers. You can now review and reconcile your monthly ledgers online! The new General Ledger Review System, accessible from the General Ledger folder, reduces the workload associated with required monthly reviews (P&PM 330-11) and allows for annotation, statistical sampling, and electronic certification. More information on this new system is available here.

New look and feel for Decision Support. DS has been given a "makeover" with this latest release! The new "cleaner" look makes it easier to see text on the screen with less scrolling and is consistent with our other FIS Web Applications.

More links and functions added to the Home Page. Clicking on the Need a query? - Start here! link can help you find the query you are looking for. FIS web applications, such as the Gift Processing Application are available by clicking on the FIS Web Applications link.

Account links added to the header section of the Transaction Listing (2). When running Transaction Listing (2) by organization, accounts now appear in the header. Clicking on an account in the header will take you to that account on the ledger.

Payments for Vendors vs Payments for Employees. Accounts Payable queries now give you the option to see payments specifically to vendors or to employees. Use the Employee/Vendor ID field on queries such as Payment/Credit Lookup (112) to indicate whether you want to see payments to a vendor or payments to an employee.

Decision Support Release 5.9

The highlights of this release include:

Document notes in Transaction Processing now appear in Decision Support. All of the notes added to DaFIS documents are now available in Decision Support when looking at a specific transaction. No more having to go back to TP to look up document notes!

New query Course Material Fee Waiver Report (281). This query allows departments who assess course material fees to see which students had those fees waived automatically by virtue of receiving financial aid. Use this report to evaluate the net revenue generated by a course material fee.

Decision Support Release 5.8

The highlights of this release include:

Organization Code field added to Budget Transaction Detail (60). You can now search for budget transactions across an organization.

First address line added to Vendor Lookup (30) report. Use this query in Decision Support as an alternative to the Vendor Lookup in Transaction Processing and find the specific vendor address you are looking for more easily.

Useful life data added to Equipment Register (170) report. This data can assist you in planning for future equipment needs.

Payment Medium Code added to Sub Find Summary by Consolidation (55) and Object Expenditures by Fiscal Year (256). You can search for expenditures based on a specific payment medium code and see the payment medium code data on the resulting report.

Change to way payroll liens are calculated on the YTD Balance Summary (278). The report now includes payroll liens as if they were external encumbrances.

Decision Support Release 5.7

The highlights of this release include:

New sort capability for Sub Account Lookup (6) . In the past this report sorted by sub account first and account second. Now you have the option to sort by account first and sub account second. Also, you can now run this report in spreadsheet format.

Fiscal Year search criteria added to Sub Object Lookup (195). You can now search for sub objects assigned to a particular fiscal year. Spreadsheet format has also been added as an output option.

Spreadsheet and RTF options added to Encumbrance Transaction Detail (235).

Decision Support Release 5.6

The highlights of this release include:

New Report: YTD Balance Summary (278) . This new report gives a side-by side comparison of account balances across fiscal years and also displays the expenses as percentages compared to base and current budgets. Use this report to assist in determining financial trends and to plan for future fiscal years.

OP Fund Number added to Transaction Log (54) . You can now use this query to find transactions involving specific OP funds.

Asset Description added for CAMS documents on Document Lookup (9). If you use Document Lookup (9) for CAMS documents, you can drill down on the document number to see the description of the asset that the transaction involves.

2/23/04

Decision Support Release 5.5

The highlights of this release include:

Fiscal Period Range added to Transaction Log (54). No more searching on one fiscal period at a time! You can now use this query to see transactions across multiple fiscal periods.

Blankets no longer appear on Open Purchasing Orders (138). The information on the Open Purchasing Orders (138) report is up-to-date and no longer includes blanket orders. Run this report to ensure that all open purchase orders are closed prior to fiscal close.

New Report - Date Lookup (276). This query allows you to see what fiscal period and year a calendar date is assigned.

Vendor Inactive Date search added to Vendor Lookup (30). You can use this query to find out when a specific vendor code or address type will be inactivated in DaFIS. You can also search on specific dates in the Inactive Date Range fields for which a vendor is/was inactivated.

Add-On/Component information added to Equipment Physical Inventory Listing (204). If an asset has an add-on or component listed in DaFIS, you will see this information on the Equipment Physical Inventory Listing (204). Updates to the component descriptions can be made in Transaction Processing on the Asset Component/Add-On List screen, accessed from the Capital Asset Maintenance screen.

Spreadsheet Option added to Organization Hierarchy (50). A spreadsheet option is now available as an output format on the Organization Hierarchy (50).

OP Fund Number added to Budget Transaction Detail (60). You can now use this query to find budget transactions involving a specific OP fund.

Transaction Processing Release

The highlight of this release:

New certification message when processing a Feed Payment Distribution document  The certification message, which appears only for Purchasing Card transactions, indicates that the charge on the Purchasing Card is appropriate, substantiated with supporting documentation, appropriately taxed, and complies with P&PM 350-22. More information on the FPD is in the online reference manual.

Transaction Processing Release

The highlight of this release:

Change to Billing ID document (BIID) to open access to non-account managers  The BIID can be accessed and processed by any DaFIS user, not just account managers. If a non-account manager creates or updates a BIID, it will route to the account manager for approval. More information is in the online reference manual.

Transaction Processing Release 8.8

The highlights of this release include changes to implement the equipment threshold increase from $1500 to $5000. No new commodity codes have been established as a result of the equipment threshold change. However, two new object codes will appear for certain purchases once a purchasing document has been fully approved in DaFIS:

811E--MINOR EQUIP BTWN $200 & $1499
812E--MINOR EQUIP BTWN $1500 & $4999

Although the equipment threshold was changed to $5000, the departmental purchasing delegation remains at $2500 at this time.

Transaction Processing Release 8.7

The highlight of this release:

New functionality to instantly e-mail a DaFIS user.  Have you ever wanted the ability to instantly contact a DaFIS user while reviewing one of their documents? Now you can! While in DaFIS, simply right click on the user ID and you will be given two options: Send E-mail To or Lookup on Campus Directory. No more having to leave DaFIS to contact a user!

Transaction Processing Release 8.4

The highlights of this release include improvements to the Vendor Lookup screen:

Search fields default to uppercase.  All search fields that allow alpha characters now default to uppercase letters. This includes the City, State, and Remit to Vendor Name fields. No more having to remember to turn Caps Lock on!

First Address Line now appears in Search Results.  Previously you had to click on the More button to see the address line. Now you can easily scan and find the vendor address you are looking for, without leaving the main screen.

Option to Add New Vendor.  If your vendor search does not retrieve any results, you will be given a prompt that will allow you to add a new vendor. Clicking the appropriate button will take you to the Vendor Request form. In conjunction with this release, the DaFIS Help Desk will now handle all vendor requests and updates. See DaFIS Vendor Information for more information on the new Help Desk vendor procedures.

Inactive vendors can be filtered out in searches.  In the past, inactive vendors were identified with "DO NOT USE" text, which often made it difficult to find the vendor that should be used. Now, a new Active Flag field has been added to the Vendor Lookup screen. The default will be set to retrieve active vendors only, but you can also change the setting to see all vendors, or only inactive ones. Inactive vendors will not be allowed on order or payment documents.

Account document fix.  With this release, the Account document has been fixed, so that the Organization field will not inadvertently change in routing.
