10/01/05

Decision Support Release 6.6

The highlights of this release include:

New form-based login and new logout option. To increase the security of Decision Support logins, you will be taken to the campus Secure Login page when logging into DS or one of the FIS Web Applications (e.g., Gift Processing Application, Effort Commitment & Cost Share Tracking system). In addition, DS now includes a Logout link at the top of the home page and several other pages. Click on Logout to ensure that your session is properly closed.

Additional user roles added to DaFIS User Responsibility (214). If a DaFIS user has special FIS Web Roles (e.g., Plan Manager, Gift Processor) or DS roles (e.g., DS Only access), these will be included on the report.

Single/List criteria added to Transaction Listing (2). Most of the input fields now include the option to enter either single or multiple search criteria. Simply click on the Single or List link.

Office of Origin search fields added to OP Fund Lookup (236). These new search fields will assist users who have been given a reference number by the Office of Research.

Decision Support Release 6.5

The highlights of this release include:

New Accounts Receivable reports. You are no longer limited to running AR lookups in Transaction Processing (TP)! Eleven all-new Accounts Receivable queries have been developed in Decision Support (DS). You will be able to drill down and get much more detail in DS than you could previously get in TP. In addition, you now have the ability to print AR reports! The new reports are:

  • AR Invoice Lookup (290). This AR query contains the most search parameters of any of the AR queries and allows a lot of flexibility in how the data will appear on the report. The information contained on the report includes the initiator and customer ID, payment date and total invoice amount.
  • AR Customer Summary (289). Looking for detailed information on your AR customers? Get that information on this report, which includes customer contact information, open invoices and a summary of their AR activity.
  • AR Collector Lookup (294). View summary information on AR collectors.
  • AR Customer Lookup (291). This query gives you the option to search by a variety of criteria, including customer name, customer type, and customer account balance. This query drills down to the AR Customer Summary (289).
  • AR Lockbox Log (299). View payments received by the UCD Cashier's Office and applied to invoices through the AR Lockbox process.
  • AR Organization Information (293). View the default information for your AR organization, including the default accounting and payment remit-to address.
  • AR Invoice Detail (288). Get specific detailed information on an AR Invoice and all subsequent transactions adjusting the invoice balance.
  • AR Receivables By Customer Type (295). Displays a summary of receivable documents (AR Invoices) for a given date range by customer type.
  • AR Invoice Item Lookup (292). View items on an AR Invoice, including the default income Full Accounting Unit (FAU), default unit price and taxable status.
  • AR Payment Lookup (300). Retrieve a report of AR payments applied to an invoice or all the payments processed for an organization.
  • AR Payment Detail (301). Search on an AR document, and see the details for a single AR payment or payment adjustment.
More AR reports will be developed in phase two of AR enhancements.

Balance Summary (1) improvements. The functionality of the Balance Summary by Account (58), Balance Summary by Consolidation (59), Budget Summary by Project (196), and Budget Summary by Project Consolidation (197) has been incorporated into the Balance Summary (1)! Simply choose the option you want under the Summary Grouping Options.

New attributes have also been added to the query input and report output. These new attributes are:

  • Sub Fund Group Type
  • Payment Medium Code
  • Control Account
  • Account Manager
  • Principal Investigator
  • Award Number

As the number of attributes on the report has become fairly large, users now have the option of seeing all attributes or an "abbreviated" list. Click Show Advanced Criteria or Hide Advanced Criteria in the upper right hand corner of the query input page to manage the search criteria you see.

Don't want to see income on your balance summary? The Balance Summary (1) now includes an option to exclude income consolidations from the report under the Balance Summary Options field.

Principal Investigator added as search criteria to OP Fund Lookup (236).

Reference number added as search criteria/sort option on Feeder System Transaction Detail (212). This enhancement makes it easier to access information from recharge departments that use the reference field. You can also sort by reference number, to see all charges that might share a common reference number.

New report Recharge Unit Federal Billing (296). This report, designed primarily for self-supporting departments, displays federal Interdepartmental Bill customers. The query allows you to indicate what Sub Fund Group Type (SFGT) codes to include on the report.

Decision Support Release 6.4

The highlights of this release include:

New search functionality added to Payment/Credit Lookup (112). You now have the option of sorting your payments with 3 levels of criteria instead of the previous one. Payment Type has been added as a new search criteria, to mirror the new Payment Type field available on the AP Direct Charge document.

Animal subtotals added to Animal Protocol (274). This report now gives sub-totals of each animal commodity purchased. You can also check the Group by Commodity indicator to group each individual animal commodity together on the report.

Decision Support Release 6.3

The highlights of this release include:

New CAMS report. The Equipment Activity Summary (283) report gives the total dollar value of equipment acquisitions and retirements for a specific custodial code or cost center for a selected time period.

New search criteria added to several queries::

Control Account has been added as a search criteria for Sub Fund Summary by Consolidation (55).

Sub Fund Group Type List has been added to Object Expenditures by Fiscal Year (256) allowing a user to search on more than one sub fund group at a time.

Sponsor Code has been added to Contracts and Grants Account Lookup (198).

Decision Support Release 6.2

The highlights of this release include:

Login change. DaFIS Decision Support now uses the campus Distributed Authentication as the only way for logging in to Decision Support (in lieu of the DaFIS TP login ID and password).

New feature on Document Workload (40). The Document Workload (40) query now includes an option for viewing only those documents which were only approved by the initiator.

The highlight of this release:

Fix on serial number field on Departmental Repair Order (DRO). The serial number field on the DRO document now accepts both numeric and alphabetical characters.

Transaction Processing Release 10.2

The highlights of this release include:

Changes to DaFIS TP password duration. In order to improve security, we will begin expiring DaFIS Transaction Processing (TP) passwords older than 365 days. At the time this change is implemented (10/17/05), 10% of existing passwords will be expired. Those users whose passwords are expired by this process will be given the opportunity to reset their password the next time they attempt to log into DaFIS TP. At regular intervals, we will expire another 10% of current users, until all passwords older than 365 days have been reset. This process will not affect any users who have created or reset their password in the past year.

Once the initial process is over, the welcome screen will display the date when your next password reset will be required. When you reach 7 days from the 365 day deadline, you will get a message at login prompting you to reset. If you do not reset your password by the deadline, your next login will require you to reset. If you still do not change your password, you will need to contact the Help Desk (530-754-6780) to set up a new one.

Correct lien calculation on DPO/VI. An error in the lien reduction functionality of the VI documents has been eliminated. The error occurred on VI documents initiated in early June through September. The errors included partial payment VI documents not reducing liens for the items being paid on that specific VI and pay-in-full VI documents not reducing the total remaining liens.

The lien errors will be cleared through a special program that will run globally for all affected documents. The lien errors can only be removed for closed purchasing documents so the program will run several times during the year to capture all errors.

Transaction Processing Release 10.0

The highlights of this release include:

Significant Accounts Receivable (AR) enhancements. Improvements have been made to streamline AR processing and crediting of receivable accounts. These changes include:

  • Streamlined document processing. AR transaction documents now automatically pre-populate with information already in the system (e.g., reference tables, invoice). This reduces the need to re-enter the information.
  • Removal of AR Credit Memo Application (ARCA) document. In order to credit a customer account, the AR Credit Memo (ARCM) is now the only document that needs to be processed. The redundancy in the credit memo process has been eliminated.
  • Applicable tax now automatically calculated on the AR Invoice (ARIN) document.
  • Flexibility in applying payments on the AR Payment Adjustment (ARPA) document. The Adjustment Act field allows departments to correct misposted payments and refund customers that have overpaid.
  • Payments are applied to receivable accounts specified on AR Invoice (ARIN), not the default receivable account. Users can determine on a case-by-case basis what should be used as the receivable account.
  • Separate Receivable and Income Accounts can now be established on the Organization Accounting Defaults (OADF) document. Users are no longer restricted to using one account for receivable and income purposes.
Updated information on the changes to the AR documents is available in the online reference manuals.

Improvements to Accrual Voucher (AV) document. In order to capture all the necessary information for accruals and deferrals of revenue and expense, a new Accrual Ledger Description screen has been added to the AV. This screen will require users to indicate the reason for the accrual or deferral. In addition, the Received Date and Reversal Date fields are now required fields. These changes have also been made to the Year End Accrual Voucher (YEAV) document, which is only available during fiscal close.

More information on the Accrual Voucher document and its uses is available in our online reference manual.

Change to Invoice Terms/Payment Date editability on the AP Vendor Invoice (VI). If processing a VI against a Purchase Order (PO) or Departmental Purchase Order (DPO) citing an agreement, the VI now "enforces" the original payment terms and does not allow changes to the Invoice Terms or Payment Date fields. This change in functionality ensures that the original payment terms negotiated on a PO or agreement are met.

If processing a VI against a Published Materials or Open Vendor type of DPO, the Invoice Terms and Payment Terms fields are still editable.

The highlight of this release:

Changes to Direct Charge/Medical Center Direct Charge document. To expedite the process of issuing refunds and reimbursements, the DC and DCH now allow you to enter a payee directly on the document without submitting a vendor request. See our Direct Charge Changes page for more information.

Transaction Processing Release 9.0

The highlights of this release:

New Message at Login. Text has been added to the TP login screen to reinforce the importance of not sharing DaFIS IDs and of using the system for appropriate business purposes only. At each log in you agree to use the system appropriately, and that only the person whose login was used will be using TP in that session.

Ability to Add Non-Equipment to CAMS. It is now possible to add non-equipment (items below the equipment threshold of $5000) to CAMS, using Acquisition Type 44 on the Add Asset (AA) or Multiple Add Asset (MAA) document.

Payment Lines Removed from Add Asset and Multiple Add Asset documents. Since payments are not processed on the AA or MAA documents, the Payment Lines have been removed from these documents.
